Position Summary:
This Administrative Assistant will be a temporary replacement person for the current Customer Service Coordinator, Agriculture Department, RACert and Certification Administration Coordinator, RACert who will be on maternity leave.
TheCustomer Services Associate for Asia Pacific will ensure rapid and professional implementation of all audit processes in Asia Pacific. S/he will be the main contact person for farmers and companies in Asia Pacific with regards to the sustainable agriculture certification program of the Rainforest Alliance.  The associate will, in close coordination with the supervisor and other coordinators, promote the certification program, cultivate relationships with farmers/companies, and handle audit processes.
TheCertification Administration will be responsible for providing general administrative support to the Asia Pacific Region office.  S/he will conduct database entry and provide direct support to technical staff regarding certification services activities.

Responsibilities:
Customer Service Coordinator, Agriculture
  • Provide information about the certification program and associated information such as Marketplace and self learning website of Sustainable Landscape tofarmers, companies and other stakeholders in Asia Pacific;
  • Responsible for the application process for audits in Asia Pacificselected portfolio as assigned by supervisor:
    • Review and approve the application
    • Development of audit budgets
    • Send the quotation to the client;
  • Responsible for the swift execution of the audit services in Asia Pacificselected portfolio as assigned by supervisor:
    • Development of the service agreement, audit plan and get the client’s approval
    • Define and coordinate audit logistics, including auditor selection
    • Send invoices to clients and keep track of payments
    • Receive the audit report, ensure prompt review and distribution
    • Ensure payment of the auditors;
  • Helps other associates when they are on business travels;
  • Administer and handle complaints, appeals and suggestions with regards to the audit processes by clients, staff or other parties;
  • Apply the quality systems as required by Sustainable Farm Certification, Intl.; and
  • Other activities, as assigned by supervisor.
Certification Administration
  • Conduct data entry by coordinating directly with Certification Services Associate and region staff;
  • Verify information provided by technical staff is complete & accurate;
  • Provide administrative support to technical staff including preparing agreements; receiving, processing, and distributing forms; and other logistics related to certification services;
  • Maintain accuracy of Asia Pacific Region certification related information in Sales Force database;
  • Support Office Coordinator in maintaining certification client files including all correspondence, reports and related documents;
  • Distribute certification reports to clients; and
  • Other duties as assigned.

Requirements:
  • University degree required;
  •  Minimum 2-3 years of administrative experience;
  • Strong computer skills (Microsoft Office and Internet);
  • Ability to work independently, multi-task and work under tight deadlines;
  • Excellent written and verbal communication skills;
  • Fluency in English required;
  • Background or interest in forestry and/or environmental conservation preferred; and
  • Dependability, diplomacy, good organizational skills and ability to work as part of a team.
